Cover Letter

Well dear I found following article today. This is related to cover letter.

Whenever you send out a resume, it must be accompanied with a cover letter. The purpose of the letter is to personalize your resume for an employer, and enable you to elaborate more fully on your qualifications.

Why a powerful cover letter is essential

The average employer is likely to be swamped with applications. Often employers receive more than 100 applications for every single position. Put yourself in the place of the employer who has the task of sifting through stacks of letters hoping to find something that will cause him/her to reach for the telephone. You want your letter to STAND OUT.

BASIC RULES FOR EFFECTIVE LETTERS

1. Address each letter to the recipient by name in both the inside address and the salutation. If no name is given, call to find a contact person.

2. Start your letter off with a strong sentence... one that almost begs the reader to read on.

3. Do not point out what the employer can do for you or what you hope to gain from this job. Instead, show how you can address the needs of this particular employer. Indicate what you have accomplished that you can offer this employer.

4. Use the body of the letter to highlight brief facts about yourself and your accomplishments that will arouse the reader's curiosity and will interest her/him in reading your resume.

5. Skills are not the only factors that determine success. It is also a result of personal characteristics and the ability to interact with others. Therefore, in your letter complement the skills that you highlight by describing personal qualities which will enable you to perform well.

6. In conclusion, ask directly for a meeting and indicate that you will call within a week to ten days to arrange a time at their convenience. By mentioning when you will call in the letter, you are showing serious interest and initiative and almost forcing yourself to follow up!

7. Do not use a letter that looks like it could have been sent to anyone. Make each letter unique to each employer.

8. Keep your letter short (one page).

9. Quantify your experiences and achievements.

10. Sign the cover letter and place it on top of the resume when sending it to an employer.

STRUCTURE OF A COVER LETTER

All cover letters are different but most have three parts: introduction, body and closing. The introduction and closing should each be one paragraph while the body could be one or two paragraphs.

Introduction

State why you are writing, indicate your knowledge of the employer and tell what you’ll bring to the position (in terms of skills). If you are writing as a result of a personal referral, someone known to the reader, state it in the first sentence. Make sure that you have that person's permission to use her/his name!

The first paragraph must be succinct and attract enough attention to make the employer want to read on. This is definitely no time to be drab or unassertive. Here are some examples of "personal" opening lines:

"I understand that you have just received a grant from NIMH and will be expanding your Las Vegas area personnel. I am interested in..."

Body

In this section it is important to elaborate on your introduction and sell yourself and your abilities. Since the best predictor of future behavior is past behavior, give examples of how your skills have been demonstrated in the past and describe how your experiences relate to or are transferable to the employer. If possible, quantify your accomplishments. This is also the place to describe personal characteristics that will complement the skills you highlighted which will enable you to perform well.

Closing

Here you should indicate the step you will take next and reassert your interest in the position. It may include arranging for a specific time when you will contact the employer to set up a meeting. Avoid unassertive endings, such as "Please contact me," which leaves the initiative up to the employer. Write your letter as though you expect the meeting to occur. It is important to research the organization and to follow up with all employers receiving your letters.

Examples:

"I am planning to interview at the end of classes next month and would like to meet with you during the last week of March. I will call you to set up a possible date."

"I will be in your area on other business during the week of May 10th. I will call Thursday to see if it's convenient for us to meet."

Always thank the person for their time, i.e. "Thank you for your consideration. I look forward to speaking with you soon."

3 QUICK TIPS:

- Do not overuse the personal pronoun "I".

- Be succinct; gear the letter to the needs of the reader.

- Make sure the letter "looks" good—no typos or mistakes, edit it carefully and proofread.

Structure your opening paragraph in a way that will arouse the reader’s interest in your application. Tell him/her why you are writing the letter. Provide specific information that demonstrates why you are interested in his/her company. Be as specific as possible about the kind of position you want.

Your middle paragraphs, the body of the letter, should highlight your qualifications. Emphasize your skills, abilities, and personal traits that relate to the job for which you are applying. Highlight details of your background that will demonstrate to the reader why she/he should call you for an interview, but don't repeat word for word what's in your resume. Use the cover letter to expand on relevant experience that you weren't able to do in your resume. Be sure to point out relevant experience whether obtained in school or in the workplace, but do not reiterate your entire resume. Remember that the reader will view your letter as an example of your writing skills.

You might also include a brief paragraph describing your interest in acquiring a position with this particular organization. Good things to site is your sincere belief and interest in promoting the organization's mission and goals. If you are aware of projects or current events that you would participate in as a part of your role, you might state your strong interest in contributing to such a project and the reasons why and what you hope to accomplish.

In your closing paragraph, ask for action. State that you will be contacting the employer, within a specific period of time, for an interview at his/her convenience. (A positive request is harder to ignore than a vague hope.) Also, include your contact information, like your phone number and email address.

FORMAT FOR A COVER LETTER

In your opening paragraph, write something that is uniquely associated with the person, division, or organization.

Tell the reader why you are writing:
- for information
- at the suggestion of a referral (give person's name(s) and titles and name of company they work for--but be sure to get that person(s)' permission to include their name in your cover letter
- in response to a specific position opening
- how you found out about the employer
- read about the organization in a newspaper/magazine
- researched the organization in the Career Services Office and on the Web
- obtained their name from an alumni

In the next paragraph or two, match your background with the needs of that particular organization. Highlight what you want the employer to know about you (what you "can do" and "will do"): skills and experience related to that job/organization interests/values that match the organization’s purpose

You’ve sent this letter and a resume, now what? Tell the reader what your next step will be (or what you would like from the employer).

- Will you call? When?
- Are you asking for an appointment?
- Do you want the employer to share this with other departments?
- Would you like some materials/publication?

WHAT EMPLOYERS WANT TO SEE IN A COVER LETTER

1. Three concise paragraphs

2. A nice compliment or demonstration of some knowledge of the organization and reasons why you want to pursue a job there. Refer to specific employees and/or projects you know at the organization. Managers take notice when you know about them!

3. Specific skills or job focus. Don't be vague.

4. Three bullets stating why you should be considered for a specific job. Focus must be on how you can help them--not what you want.
